Gatlinburg Cabin Rentals - Rental Agreement

The use of a combination code to access the keys to this property constitutes acceptance of the following terms and conditions in this agreement.

Cancellation Policy:

Winter Weather:

Please be prepared for one of Mother Nature's most beautiful seasons in the Mountains. Four-wheel drive or snow chains are recommended for winter trips in the mountains - even though the chains may stay in the trunk. We cannot offer refunds for unexpected weather issues. There is rarely anyone available to clear snow from driveways.

Cancellations requested more than 45 days in advance of arrival date will be refunded within 10 days of receipt of the cancellation request. There will be no refunds for cancellations received less than 45 days from arrival date unless the dates can be rented to another guest. In that case, only the amount received from the new guest(s) will be refunded, up to a maximum equal to your orginal rental fees less a 15% cancellation fee ($100 minimum).

Lock Box:

The lock box is on the first post on the deck. To open, slide the black cover open, dial in the combination and press the small latch to open and remove the keys. When leaving be sure to turn the dials away from the combination numbers or the box will open for anyone.

Security Deposit:

We require that a Security Deposit be paid not less than 30 days prior to your scheduled arrival. The minimum Security deposit is $200, but may be substantially larger for extended stays or other reasons at Owners' discretion.

Your security deposit will be returned within 14 days of your check out if our agents find no damage, excessive wear and tear, or other conditions (some examples listed below) which require forfeiture of part or all of the Security Deposit. Please understand that this is our vacation home and we do not live close by. This means that we must pay someone else for everything that must be done. Most Handymen and Contractors have a substantial minimum charge for just making the trip up the mountain, especially on short notice. Therefore even the most minor repair can be expensive, particularly when it must be done in a hurry before the next guest arrives. If you notice any damage on your arrival, please notify us immediately so that we can charge the proper party for the repairs.

We will notify you via email and, whenever possible, within 10 days of your departure about any items which require that we retain part or all of your Security Deposit. Some examples of such items are:

Keys lost or not replaced in lock box…..cuts, stains or other damage to flooring, vinyl and/or carpet …..Owners Club passes lost or not replaced for next guest…..scuffs, stains or other damage to walls, ceilings or decking…..damage to furniture, appliances, decorations, televisions, game systems or internet systems…..re-arrangement of furniture other than the TV/Game cart downstairs which is necessary to use the sleeper…..damage to the Hot Tub or hot tub Cover…..excessive dirt or staining of linens or missing linens…..littering the grounds or throwing trash from the decks…..damage to doors, windows and locks.

The above list is not meant to be all inclusive as there are many other conditions that could warrant forfeiture of all or part of the Security Deposit.

Pets:

We are happy to welcome your housebroken family pet. We do require that the pet be "crated" if left unattended in our chalet. Pets are not allowed on the beds or furniture. Extra cleaning charges will be deducted from the pet deposit to remove pet stains or pet odors and to clean bedspreads and furniture of pet fur.

Bears:

Be aware that there are bears living in the area and bear sightings are fairly common. Please understand that these are wild animals and as such are unpredictable. Enjoy viewing them from a distance but do not approach them. NEVER, NEVER, NEVER feed them or leave food out for them.

Feeding the bears is illegal and extremely DANGEROUS !!!

Bears that are fed by humans lose their natural fear of people and often must be destroyed - so feeding them may actually mean condemning them to death !
If you become concerned about a bear that is close by, call 911. The police will generally drive up close and sound their siren which scares them away without harming them.

Checking Out:

Please use the check list posted near door when checking out. The checkout time of 11:00AM must be strictly observed, unless other arrangements have been made, to allow for the necessary work to be done between guests.
